REFERRAL DEPARTMENT SUPERVISOR

Position:  Referral Department Supervisor 

Pay:  $60,000 - $70,000 Depending On Experience 

The Referral Department Supervisor is responsible for staffing and supervising the referral department staff. The referral department processes all new hospice and palliative care referrals, verifies insurance benefits, and completes authorizations. This person will be accessible or provide appropriate backup during referral department hours of operation. The Supervisor will hire, fire, train and schedule customer service representatives, administrative assistant for weekday, evening and weekend shifts. This position will also perform the duties of the Customer Service Representative for their respective shift and as needed.

Responsibilities

1. Ensures appropriate staffing for the referral department. Hires new staff, as approved by supervisor.
2. Trains new employees and informs staff regarding updates or process changes, etc.
3. Conducts performance evaluations for staff; and assists employees in setting priorities, goals and areas of improvement.
4. Implements training or disciplinary action as necessary; in accordance with policy and with assistance from Supervisor / Human Resources.
5. Reviews and approves employee time sheets. Helps control payroll expenses by utilizing appropriate scheduling and monitoring overtime.
6. Performs Customer Service Rep. duties in addition to supervisory duties when necessary.
7. Promotes customer service with timely call backs, listening and understanding, good communication, and positive attitude.
8. Is confidential regarding any communications about or with patients, per HIPAA.
9. Accepts referrals and inputs the information into the electronic medical record. Inputs referrals and verifies insurance which have not been input by CSR’s prior to end of shift.
10. Manages Administrative Assistant to ensure EMR report is completely weekly to obtain information about bereavement letters which are due and administrative job responsibilities are complete.
11. Updates company-wide phone and address list, each month. This report provides contact information for individuals who may be on call.
12. Compiles and distributes various other reports regarding Monthly Call Counts (i.e. PerfectServe and ProComm)
13. Updates PerfectServe database with newly hired employee names and contact information. Also removes terminated employees from PerfectServe database.

Qualifications

1. High School diploma or equivalent, required. One year of business or vocational school, preferred.
2. Health care experience is preferred.
3. One (1) to three (3) years supervisory experience is preferred, preferably in referral or on-call center or similar setting.
4. Must be skillful with computer software. Must be able to develop and maintain reports tracking activities, etc.
5. Must be able to communicate clearly and comprehend written and verbal communications.
6. Must be able to function efficiently in a stressful work environment.
